The Complete Wedding Guest Management Checklist

Guests remember two things about a wedding: how the celebration felt, and how they were treated. The second is entirely a systems problem — and systems can be built. Here's the checklist our hospitality teams run for every wedding.
Three months out
- Finalise the guest list with both families in one shared sheet — names, side, city, contact.
- Send save-the-dates; open RSVP tracking (a simple form beats a hundred WhatsApp threads).
- Block hotel rooms near the venue; negotiate group rates early.
- Identify VIPs, elderly guests and anyone needing special assistance.
One month out
- Chase pending RSVPs personally — assign family ambassadors per guest group.
- Collect travel details from outstation guests: flights, trains, arrival times.
- Map dietary needs: Jain counters, allergies, kids' meals, senior-friendly options.
- Design the rooming list: who stays where, with whom, check-in support.
- Plan transport loops: airport pickups, hotel-venue shuttles, late-night drops.
The wedding week
- Set up a hospitality desk at each hotel with welcome hampers and itineraries.
- Publish one guest helpline number — that rings us, not you.
- Print and share the function schedule with timings, venues and dress codes.
- Brief ushers for ceremony seating: family forward, friends together, nobody lost.
The details guests never forget
A welcome note that feels personal. Water and shade at outdoor functions. A phone-charging corner. Clear signage. A comfortable waiting area for elders during the baraat. And a farewell that thanks them for coming — not just a bill. Our guest management and hospitality teams run this entire checklist so your family stays guests at their own wedding. Tell us your guest count and we'll show you the system.
